Firms can only monitor their consultants’ travel expenses after the fact, because receipts are turned in and reviewed at month's end. At that point, the firms have two options: pass the expense onto the client or eat the cost. They are loath to do the latter. Although reputable firms will never pass inappropriate expenses onto the client (the chewing gum charge never made it to the client), they also will not eat the costs of excesses such as late-booked hotel rooms and airplane tickets—travel is hard, and consultants will quit if they have to pay any part of it.

The retroactive nature of travel expense reimbursement makes it important that you ask the consulting firm to submit invoices in a timely fashion. That way, you can identify and curb troubling charges and trends early. I have seen situations where busy consultants have submitted travel expenses months after the expense occurred. This is too late to make any corrections. When consultants are overly tardy, predicting whether travel expenses will breach the cap and by how much can be impossible.
